Clarify the work, intended user, decision process and timing before writing a detailed proposal. An initial call can establish fit without delivering a complete solution. If the conversation itself is paid, explain that and obtain agreement before it begins.

Three practical steps

  1. Ask about the current process and a recent example of the problem.
  2. Clarify deliverables, timing, available resources and who can confirm scope.
  3. End by distinguishing a quotation, further information, paid discovery or a decision not to proceed.

Separate understanding a problem from delivering a solution

Learning the context does not mean you have committed to analysis or implementation. Extensive document review, strategy design or written output needs a separately understood scope. Do not announce a fee only after the discussion has ended.

A filled example

Illustrative example: a designer is asked about a website rebuild. Questions about users, pages and timing reveal a narrower booking-page problem, leading to a bounded next step rather than a free full-site proposal.
