What arrival details should you send when inviting people to an unfamiliar venue?

Help a first-time visitor identify the correct entrance, meeting point and contact method. Separate the street address from entrance instructions. Avoid landmarks or nicknames understood only by regular visitors.

Walk through a first arrival

  1. Verify the venue's address and entrance.
  2. State meeting time, waiting position and an identifiable marker.
  3. Provide a contact who agreed to that role. For a building with two entrances, specify the side and floor instead of saying “downstairs at the usual place.”

Include relevant constraints

Check registration requirements, stairs or locked entrances before describing them. Do not publish a private home address, access code or participant phone number in a public post. Send necessary details only to invited people. An arrival card should reduce navigation guesswork, not collect everyone's live location.

A worksheet you can use

Address: __. Entrance and floor: __. Marker: __. Time: __. Verified constraints: __. Contact and sharing scope: __.

Is a map link enough?

Not when the entrance is ambiguous. Add one concrete instruction connecting the street to the meeting point.

Evidence and scope

For organised events, follow current official instructions. Confirm accessibility requirements separately.
