How do you ask about an unfamiliar term in a project meeting?
Name the term and the decision it affects. Ask how it is being used here rather than criticising yourself or pretending to understand. Different departments may use the same word differently.
Connect the question to the task
- Note the term and context.
- State your current interpretation.
- Ask about one distinction affecting the next step, then confirm the local definition.
Ask without a long apology
Confirmed attendees might mean form submissions or people who completed required registration steps. That difference matters for seating. If discussion must wait, identify who will clarify it before the decision is made.
A filled example
Worked question: Does confirmed mean form submitted or registration completed? I need that distinction to arrange the seating.
What to do with your observation
| Observation | Next action |
|---|---|
| Meaning affects today's decision | Clarify the working definition now. |
| Question concerns background knowledge only | Record it for a suitable learning opportunity. |
A worksheet you can use
Term: __. My interpretation: __. Alternative: __. Affected decision: __. Agreed meaning: __.
Will the question slow the meeting?
Explain the decision it affects. Save general background learning for another time rather than requesting an introduction to the whole field.
